Position Summary :
We are looking for a proactive Executive Assistant to support daily operations and ensure smooth coordination across the business. This role involves administrative support, scheduling, customer communication, and light assistance with social media and sales tasks. The ideal candidate will be organised, detail-oriented, and confident in managing multiple priorities.
Key Responsibilities :
Administrative & Operations Support
Manage calendars, including bookings, buffers, and contractor coordinationSend updates regarding reschedules or changes to appointmentsAssist with invoicing and payment follow-upsSupport the use of job tracking and quoting softwareCustomer Communication
Send client emails at the start and completion of projectsRequest and log client feedback and testimonialsMaintain a simple FAQ for consistent responsesRespond promptly and professionally to customer enquiriesSocial Media & Marketing Support
Organise project photos, draft captions, and schedule postsMonitor comments and messages, escalating when necessaryTrack basic ad performance when campaigns are activeSales & Lead Support
Maintain response templates for incoming enquiriesKeep lead trackers or CRM systems up to dateReport weekly on leads, quotes, and conversionsSet up automated replies for after-hours enquiriesRequirements :
