The Administration Assistant provides direct daily support to the CEO and ensures that the company’s communication, documentation, and financial administration are organised, traceable, and compliant.
This position acts as the eyes and ears for the CEO—managing his inbox, maintaining communication visibility across all company projects, ensuring that instructions, variations, and invoices are properly recorded, and enabling the CEO to make informed decisions quickly.
The role is central to managing the flow of communication across the company’s six-person engineering team, helping maintain accurate project correspondence, and supporting monthly variation tracking, billing, and documentation control.
Key Responsibilities :
A. Executive Support & Inbox Management
- Monitor the CEO’s inbox and company-wide shared mailboxes daily.
- Review every incoming and outgoing email, ensuring it is :
- Saved to the correct project folder (via ClickUp, eWay-CRM, or Outlook).
- Tagged or filed so correspondence can be easily located.
- Identify emails requiring CEO decision or response :
- Leave those unread and flag them for CEO review.
- Manage and declutter inboxes :
- Remove non-business or subscription content (after verification).
- Maintain a daily routine of categorising and archiving.
- Support the CEO by preparing meeting folders, collating attachments, and managing day-to-day
- administrative follow-ups.
- Maintain confidentiality at all times when handling sensitive client, financial, or personal information.
B. Meeting Monitoring & Reporting
Track all scheduled meetings for the CEO (internal and external).Use the company’s AI meeting note-taker (Fireflies) to capture summaries.Before each meeting, compile the last two to three meeting summaries for context.After each week, prepare a concise update for the CEO showing :Total meetings recorded.Key clients and actions arising.Outstanding follow-ups required.Maintain meeting documentation and ensure summaries are uploaded to the correct project folders in ClickUp.C. Project Variation Tracking & Administration
Conduct fortnightly variation check-ins with each Project Manager and Engineer.Review all out-of-scope work (variations) requested by clients and confirm :The client has formally approved the variation.The scope has been documented and integrated into project plans or drawings.The supporting paperwork (signed variation, cost breakdown, approval chain) is saved to the correct project file.At the end of each month, prepare a Variation Summary Report showing the status of all current and pending variations.Assist team members using pre-approved variation templates when needed.D. Financial Administration & Xero Support
Perform weekly mini-audits within Xero :Check that all Purchase Orders (POs) and bills have invoices attached.Verify notes, coding, and supporting documentation match the correct project and cost code.Assist the CEO and Project Managers in raising POs when required.Liaise with Project Managers and Engineers to confirm all billing paperwork is up to date.Maintain an administration log of open POs, approved payments, and missing attachments.E. Internal Coordination & Team Assistance
Conduct monthly document checks for each team member to confirm all project correspondence and files are saved correctly.Support team members with document formatting, saving conventions, or retrieval of emails.Use ClickUp to review project Gantt charts, filtering by person to ensure task sequencing, due dates, and dependencies are visible and current.Keep a register of key project milestones and assist in flagging overdue administrative tasks.F. Communication with the CEO
Hold two daily check-ins with the CEO (morning and afternoon) to review priorities, meeting updates, and any flagged emails.Communicate primarily via WhatsApp and email for quick updates.Prepare end-of-day summaries highlighting key actions completed, outstanding follow-ups, and documents requiring review.Tools & Systems

Practice email filing for multiple projects.Perform first Xero PO and bill audit.Attend weekly team check-ins and observe variation reviews.Draft the first weekly summary report for CEO feedback.Week 3 – Independent Operation
Manage CEO inbox independently with daily updates.Lead fortnightly variation check-ins and track all actions in ClickUp.Complete first monthly Xero mini-audit and variation summary.Deliver weekly meeting summary report for CEO review.(Leave space for daily checklist and training notes.)Performance Indicators
