This role involves financial reporting, job costing, and vendor management tasks, along with maintaining accurate records for business decisions. The ideal candidate is proactive, communicates well in English, and can work independently with minimal supervision.
Key Responsibilities :
Job Costing (Ongoing)
- Update and maintain job costing reports 23 times per week (1012 jobs weekly and growing).
- Provide updated costing reports every Friday for accuracy review.
- Collaborate via WhatsApp for job-related updates.
Overhead Reports (Monthly)
- Compile QuickBooks transactions for insurance, utilities, fleet maintenance, fuel, and purchases.
- Submit summarized reports in PDF format.
Marketing Spend Reports (Monthly)
- Track all marketing-related expenses (Google, advertising, media, print, and promotional materials).
- Provide consolidated QuickBooks report in PDF format
Fleet Maintenance Reports (Monthly)
- Maintain records of vehicle maintenance expenses by service, date, and cost.
- Provide a monthly Excel report with year-to-date totals.
ROAS Return on Ad Spend (Monthly)
- Calculate ROAS by comparing marketing spend vs. profit generated from leads.
- Exclude referral / repeat customers to ensure accurate reporting.
Customer Lifetime Value (Quarterly)
- Track and report annual and total LTV per customer.
- Export and organize data from CRM into quarterly reports.
Vendor Price Comparison (Monthly)
- Compare vendor invoices across materials and products.
- Ensure accuracy of quality control checks.
- Manage purchases via vendor portals and emailed receipts.
Vendor Spend Report (Quarterly)
- Break down vendor spending and cross-check QuickBooks transactions.
Qualifications :
- Strong English communication skills (written and verbal).
- Proactive, organized, and detail oriented.
- Able to work independently and meet deadlines.
- Familiarity with QuickBooks or other accounting software (preferred but not required).
- Strong Excel / Google Sheets skills.
- Customer service mindset and ability to collaborate remotely.
