The St. John Bosco Review Center seeks a highly reliable and detail-oriented Executive Secretary to directly assist the President in managing and overseeing review center operations. This role is central to ensuring that all departments (Marketing, Admissions / Academics, and Accounting / Admin) operate smoothly and that the President is provided with accurate, timely, and well-organized reports for decision-making.
1. Key Responsibilities
- Direct Support to the President
- Serve as the President's right hand, ensuring priorities, directives, and schedules are carried out.
- Manage the President’s calendar, correspondences, and approvals.
- Safeguard cthe onfidentiality of all institutional and financial matters.
2. Coordination & Oversight
Ensure that all staff (Marketing, Admissions / Academic, Accounting / Admin) comply with reporting requirements.Enforce submission rules :All reports / documents must be submitted on time, with photocopies.All documents must carry a “RECEIVED” stamp, whether submitted via email or in person.Act as the funnel for requests — only forward complete, properly documented matters to the President.3. Report & Document Management
Collect and summarize reports every week from :Marketing Team – promotions, campaign results, income updates.Admissions / Academic Staff – enrollment, class schedules, student concerns.Accounting / Admin Staff – collections, expenses, payroll, and budget updates.Compile and submit a Saturday Report Pack for the President’s review.Maintain both digital and physical filing systems.4. Meetings & Alignment
Prepare the agenda and minutes for the Saturday Alignment Meeting with the President.Track follow-up actions and remind staff of pending tasks.Coordinate with part-time assistants (Wed, Thu, Sat) for clerical work and preparation.5. Qualifications
Bachelor’s degree in Business Administration, Office / Management, or a related field.Minimum of 3 years of experience in executive secretarial, admin, or office management work.Strong organizational, multitasking, and communication skills.Proficient in MS Office and Google Workspace (experience in Monday.com is an advantage).High degree of confidentiality, professionalism, and integrity.Ability to work independently while ensuring alignment with the President’s directives.6. Work Setup & Schedule
Must be in close coordination with the President daily (except Tuesdays & Sundays).Key reporting and decision-making day is Saturday, where full reports must be compiled and presented.Works with support assistants (Wed, Thu, Sat) for clerical and prep tasks.Why Join Us?
