About the Role :
We are seeking a motivated, detail-oriented ABA Intake Assistant Manager to support and not to oversee the intake operations within our Applied Behavior Analysis (ABA) services department. This role ensures families, clients, and clinical teams receive timely, accurate, and supportive onboarding throughout the intake process.
The ideal candidate is organized, client-focused, and experienced in coordinating ABA or healthcare intake workflows.
Fluency in English and Spanish is required , as the role involves regular communication with Spanish-speaking families and clients.
Key Responsibilities :
- Team & Workflow Management.
- Support staff training, onboarding, and performance monitoring.
- Ensure all client inquiries and referrals are processed efficiently and accurately.
- Identify areas for operational improvement and recommend solutions.
- Client & Family Coordination.
- Serve as a primary point of contact for new ABA clients and families.
- Provide clear communication regarding onboarding steps, documentation, insurance verification, and scheduling.
- Manage escalated or complex inquiries with professionalism and empathy.
- Documentation, Compliance & Quality Control
- Review intake documents for completeness and compliance with ABA standards, insurance requirements, and company protocols.
- Ensure all data is accurately entered into intake and case-management systems.
- Participate in audits and quality assurance initiatives.
Reporting & Administrative Support :
Prepare intake-related reports, tracking metrics such as referral volume, processing times, and status updates.Assist in implementing process improvements and operational strategies.Requirements : Qualifications :
Minimum 2 years experience in the field.Diploma or degree in Healthcare Administration, Psychology, Social Services, ABA, or a related field (preferred).Previous experience in ABA, behavioral health, medical intake, or administrative operations.Skills & Competencies :
Strong communication and client-service skills.Excellent organizational abilities and attention to detail.Ability to manage multiple priorities in a fast-paced environment.Experience working with ABA, behavioral health, or insurance-related doProficiency in MS Office suites Teams, Trello, Rethink.About Caliber6
