The Role

The Senior Event Coordinator plays a strategic leadership role, owning the end-to-end event lifecycle and driving the flawless execution of high-profile corporate events across APAC and ANZ. This hybrid position combines focused remote work with in-office collaboration in BGC.
With a front-line leadership focus, this role is centered on proactive strategy, high-level negotiation, and quality control. You will serve as the primary logistics lead for key events, mentor junior team members, and ensure every detail aligns with our brand's high standards. You will also represent Ortus as the on-site point person or even as an MoC at our most important events.
This position is for an experienced professional who is not only a logistical expert but also a forward-thinking innovator. You will lead the charge in introducing new event concepts, piloting cutting-edge tools, and forging strategic partnerships that elevate the attendee experience. You are the driving force behind our world-class event operations, ensuring our events are both impactful and financially sound.
Responsibilities :
Event Coordination & Execution
Own the end-to-end delivery of key events, acting as the main logistics lead.
Align with internal stakeholders (e.g., Sales, Marketing) to ensure all requirements are met.
Oversee and troubleshoot real-time event issues, both remote and on-site. – Manage all pre-, during-, and post-event workflows, including timelines, checklists, and contingency plans.
Mentor junior coordinators and ensure SOPs are followed across events.
Represent Ortus at high-profile events as the on-ground coordinator or MoC when required.
Vendor & Venue Management
Lead negotiations with vendors and venues to secure value-adds and exclusive terms.
Build long-term vendor relationships and evaluate performance post-event.
Curate and refine Ortus’ preferred vendor list and identify opportunities for partnerships.
Strike strategic deals that offer value-adds (discounts, perks, exclusivities) and ensure consistent quality delivery.
Quality Assurance & Brand Experience
Own quality assurance — establish and enforce brand-aligned event standards.
Conduct event audits and identify areas for improvement.
Innovation & Expertise
Proactively introduce innovative ideas to elevate the attendee experience.
Stay ahead of event trends and apply relevant ones to Ortus formats.
Lead pilots of new concepts (e.g., new types of experiences, upgraded gifting, digital tools).
Act as an internal advisor on experience design and logistics optimization.
Budget Ownership & Efficiency
Own the budgeting process per event, ensuring strong ROI while maintaining excellence.
Propose and lead cost-efficiency strategies (e.g., multi-event vendor deals, resource-sharing).
Review all event budgets prepared by juniors and flag inconsistencies.
Lead the financial reconciliation process post-event.
Qualifications :
Event Leadership : 2 to 3 years of extensive experience in end-to-end event management, with a track record of leading complex projects.
Negotiation & Vendor Relations : Proven ability to negotiate with vendors and build long-term, strategic partnerships.
Operational Excellence : Deep understanding of pre-, during-, and post-event workflows and a knack for troubleshooting.
Team Leadership : Experience in mentoring junior team members and enforcing quality standards.
Budget Management : Strong skills in budget ownership, financial reconciliation, and identifying cost-efficiency opportunities.
On-site Coordination : Comfortable representing the company as the primary on-site lead, including at high-profile events.
