This is a remote position.
Schedule : Monday to Friday, 9am to 6pm Oakland, CA Time, with 1 hour unpaid break (8 hrs / day, 40 hrs / week)
The Role
We are seeking a highly motivated and experienced Operations Manager to join our growing team. As the Operations Manager, you will be the driving force behind our agency's efficiency and success. You will be responsible for overseeing all aspects of our day-to-day operations, ensuring that our projects are delivered on time, within budget, and to the highest standards of quality. This is a pivotal role that requires a deep understanding of the video production industry, exceptional organizational skills, and a passion for operational excellence.
Key Responsibilities
The Operations Manager will be responsible for a comprehensive range of duties across five critical areas :
Developing and implementing operational procedures and systems to improve efficiency. High-level resource planning and making strategic decisions about resource allocation. Collaborating with senior management on business strategy and growth initiatives.
Overseeing the entire video production workflow, from pre-production to post-production and delivery. Managing the agency's master schedule and ensuring timely project completion. Monitoring project progress, identifying and mitigating risks, and managing scope creep.
Financial Management
Working with project managers to oversee project budgets, utilization rates, and profitability. Preparing project proposals, estimates, and contracts.
Tracking and reporting on key financial metrics and agency KPIs.
Team & Resource Management
Onboarding and managing production teams, including freelance talent and vendors. Collaborating with HR on recruitment and team development. Ensuring that the team has the necessary equipment and resources to perform their jobs effectively.
Client & Vendor Relations
Liaising with clients to ensure their needs are met and expectations are managed. Managing relationships with vendors, including equipment rental houses and freelance contractors.
Requirements
Essential Skills and Experience
Production Experience Preferred : Video production experience is a plus and highly valued, but not required as we believe anyone can learn. Understanding of the production process from concept to delivery is beneficial but we are willing to train the right candidate.
Project Management Focus : Strong project management capabilities are essential, including the ability to track multiple projects simultaneously, manage timelines, and ensure deliverables meet quality standards and deadlines.
Financial and Accounting Proficiency : Understanding of QuickBooks and accounting principles is crucial for tracking project expenses, managing budgets, and maintaining accurate financial records. Experience with financial reporting and KPI tracking is highly valued.
Team Coordination : Experience in onboarding team members and freelance talent, with the ability to integrate new team members into existing workflows and maintain consistent project standards.
Required Experience :
3-5 years of experience in operations or project management, preferably within a creative agency or video production company
Proficiency in QuickBooks and accounting software for financial tracking and reporting is a plus
Strong project management experience with ability to handle multiple concurrent projects
Preferred Experience :
Video production experience with understanding of pre-production, production, and post-production workflows (a plus, but we're willing to train)
