Role : Virtual Admin Assistant
Compensation : Competitive Basic Salary

Work Schedule : 5-day work week | 11 : 00 PM - 8 : 00 AM
Work Setup : WFO (Office-based)
Responsibilities / Job Duties
- Perform daily administrative tasks, scheduling coordination, and internal documentation.
- Data entry and record maintenance in QuickBooks (daily bookkeeping, basic transaction entry, and reconciliation).
- Conduct online research on potential clients, partners, and competitive data to support business development.
- Handle data scraping and list building projects for sales prospecting ensuring data is clean, vetted, categorized, and ready for SDR or leadership use.
- Assist in CRM updates, contact management, and workflow tracking.
- Coordinate follow-ups with vendors, partners, and prospects via email or shared systems.
- Generate and maintain simple reports in Google Sheets or Excel.
- Help develop and refine administrative processes and documentation.
Qualifications
English fluency required (strong written and spoken communication).Bilingual (Spanish) preferred.Prior experience as a virtual assistant, operations assistant, or data coordinator (2+ years).Experience with QuickBooks, Google Workspace, Excel / Sheets, and CRM tools (e.g., HubSpot, HighLevel, Zoho, etc.).Familiarity with data scraping, lead generation tools, or platforms like Apollo, ZoomInfo, or LinkedIn Sales Navigator is a plus.Strong attention to detail, accuracy, and follow-through.Reliable internet connection and ability to work in a U.S. business time zone (PST preferred).Self-starter who can manage multiple small projects with minimal supervision.
