We’re seeking a highly organized and tech-savvy Virtual Assistant to provide administrative, operational, and creative support to a consultancy Principal. This role is ideal for a detail-oriented professional fluent in English and experienced in managing complex schedules, digital files, and client communications. You’ll play a key role in streamlining operations, enhancing productivity, and supporting business growth.
Key Responsibilities
Productivity & Organization
- Proactively manage time, priorities, and workflow to support business growth
- Maintain structured digital files and client records using Google Drive and cloud tools
- Prepare meeting summaries and ensure continuity across client sessions
Calendar & Communication Management
Handle multiple email accounts and calendars across devicesSchedule cross-time zone appointments with precision and buffer awarenessSend reminders, follow-ups, and summaries to keep deadlines on trackDesign & Social Media Support
Create branded graphics using CanvaManage weekly content calendars and track engagementRespond to prospects via LinkedIn and email to support the sales pipelineSession & Project Coordination
Record and summarize client sessions using AI toolsTrack progress in LMS platforms and update client metricsMaintain organized portals for client learning and engagementOperational Efficiency
Suggest improvements to systems and workflowsHandle sensitive client data with discretion and careAct as a trusted extension of the Principal in client-facing interactionsSchedule Monday to Friday | 8 AM – 6PM PST
Requirements
Fluent English (spoken and written) with clear dictionExperience in consulting, finance, or professional services3+ years supporting executives with calendar, email, and file managementProficiency in Google Workspace, Canva, Zoom, Loom, MS Office, SparkFamiliarity with Apple devices (Mac, iPhone)Strong attention to detail, proactive communication, and customer service mindset
