This is a remote position.
8 hours a day / 40 hours a week Work Schedule : 9AM - 6PM EST with a 1 hr unpaid break
What will I be responsible for delivering?
1. Executive Support
- Provide high-level administrative support to the Co-CEO including calendar, travel, inbox, and meeting management across multiple time zones.
- Anticipate the Co-CEO’s needs and proactively manage schedules, ensuring focus on strategic priorities.
- Act as a key liaison between the Co-CEO and internal / external stakeholders, maintaining professionalism and confidentiality at all times.
- Lead note taking during executive meetings, ensuring follow-ups and key action are tracked.
2. Global Coordination & Communication
Facilitate smooth communication across the global executive team, Board, and key investors, ensuring alignment and timely information flow.Prepare briefing materials, agendas, and pre-reads for global leadership meetings, Board sessions, investor presentations and external engagements.Draft and manage internal communications from the Co-CEO, including all-staff updates, strategic announcements and executive messages.3. Project & Workflow Management
Track and help drive completion of key Co-CEO initiated projects and follow-ups with internal teams.Manage and coordinate project plans and timelines for major cross-functional initiatives, particularly those related to product development.Coordinate inputs and reporting for Board and Executive and Founder Team (EFT) meetings, ensuring timely and accurate deliverables.Assist in compiling, formatting, and editing presentations, investor packs, reports, and strategic documentation.4. Operational Excellence
Support the Co-CEO by streamlining admin processes and ensuring the Co-CEO’s bandwidth is preserved for high-value work.Manage expenses for the Co-CEO and coordinate approvals.Coordinate with regional teams across APAC, EMEA, and the Americas to align Co-CEO planning with global business needs.Maintain effective systems and documentation for executive communications, meeting cadences and recurring operating rhythms.5. Discretion & Relationship Management
Handle confidential and sensitive matters with discretion, tact, and integrity.Build strong working relationships with senior executives, Board members, and external partners, representing the Co-CEO’s office with professionalism and trust.Facilitate an efficient, respectful and highly-integrity interface between the Co-CEO and the wider organization.What do I need to bring?

5-10+ years’ experience in progressively senior roles within administration, PA and EA roles for senior executive / CEO level
Comfortable with the challenges that come with a rapidly scaling business and a willingness to get in and make things happen
An ability to problem solve and apply your knowledge to different scenarios.
Capable of thriving in a fast-paced, evolving environment where you can prioritize effectively.
Exceptional interpersonal, written and verbal communication skills
Advanced Microsoft Office skills, with an ability to become familiar with company-specific programs and software
