We are seeking a detail-oriented and highly organized Administrative Assistant to support the team across scheduling, data management, reporting, and task execution. This role requires strong attention to detail, proactive communication, and the ability to manage multiple projects for different team members.
The ideal candidate will be comfortable working independently, asking clarifying questions when needed, and ensuring that tasks are completed accurately and on time.
General Responsibilities
- Perform accurate and timely data entry.
- Manage schedules and calendars to ensure meetings are properly set and attended.
- Organize digital workflows and task management tools.
- Minimize noise in shared communication channels (especially email).
- Update and maintain reports, graphs, and shared documents.
- Support special requests and ad-hoc assignments.
- Attend weekly team calls and other video meetings
Team-Specific Support For Executive :
Manage email inbox to reduce clutter and surface priority items.Oversee calendar scheduling and meeting confirmations.Create and manage NotebookLMs.Maintain and update Payroll Graph and Timesheet Graph.Additional duties as assignedFor SEO Team :
Manage Send Out Card campaigns (RB2B, Chamber, Special Requests).Maintain and update CPA Data Google Sheet; ensure reporting is completed.Run monthly and yearly comparison scripts in CPA Data Google Sheet.Prepare Client Hours Google Sheet at the end of each month.Update client report slides to the new branded deck.Update all website forms to send to appropriate emails.Add human verification checks to all forms to reduce spam.Assist with GBP Q&A and Service Description content creation.Support with DLM tasks, Sitebulb audits, and client website screen captures as needed.Schedule
Monday to Friday 8-30am to 5-30 pm CST
