This is a remote position.

Responsibilities :

Answer incoming phone calls from patients seeking to schedule appointments

Schedule patients in the EHR system according to provider availability

Collect and verify patient insurance information for the 5 accepted insurance plans

Assist patients with uploading insurance cards and documents to the patient portal

Provide basic information about services, insurance coverage, and self-pay options

Handle autism screening appointment requests (cash-only, scheduled months in advance)

Direct emergency calls involving suicidal ideation immediately to the emergency room care

Leave messages for the provider when clinical questions arise that require follow-up

Provide excellent customer service with a polite, friendly, and welcoming approach

Requirements

  • Strong customer service experience with excellent phone communication skills
  • Ability to be polite, friendly, welcoming, and warm in all patient interactions
  • Comfortable learning basic insurance verification processes
  • Ability to follow specific protocols for handling emergency situations
  • Basic computer skills for navigating EHR systems and patient portals
  • Medical or healthcare background preferred but not required
  • Reliable internet connection and quiet work environment for phone calls

Scope :

  • Full-time administrative support role for solo telemedicine psychiatry practice
  • Monday to Sunday (1 weekend) schedule would be discussed during the client interview from 9 AM to 6 PM with 1 1-hour unpaid break
  • Primary responsibility is phone coverage during business hours when the provider is unavailable
  • Work with established billing department (no financial processing required)
  • Support both routine mental health appointments and specialized autism screenings
  • Handle 5 specific insurance plans plus self-pay patients
  • Emergency protocol training will be provided for crisis call management
  • Access to the EHR system and patient portal will be provided for scheduling and documentation
