This is a remote position.

Schedule : Flexible during client business hours

Client Timezone : Western Australia

Total Weekly Hours : 20 Hours (with potential to grow as the business restructures)

Our client is looking for a motivated and highly organized Business Support Assistant to provide temporary administrative and personal support to the Directors and Business Services Coordinator. This part-time role (20 hours / week) offers the opportunity to grow in scope and hours, potentially developing into an Office Manager or broader business support role as the company expands.

Responsibilities

Administration & HR Support

Manage diaries, schedule meetings, and handle email correspondence

Draft policy and procedure documents for review

Assist in creating job descriptions and handling HR administration

Maintain filing systems, version control, and employee records

Support subcontractor compliance management

Help set up new systems and processes

OH&S Administration

Monitor daily site check-ins using HazardCo

Send reminders to team members and contractors

Prepare toolbox talk agendas, minutes, and follow-ups

Maintain accurate OH&S records and escalate non-compliance issues

Subcontractor Administration

Issue subcontractor agreements via DocuSign

Ensure agreements are signed before work commences

File agreements in ProCore for project records

Time Tracking & Cost Allocation

Record hours worked across projects using ClockShark

Allocate time accurately for client invoicing under cost-plus contracts

Requirements

Strong organizational and time-management skills

High attention to detail, especially in compliance support

Clear communicator with confidence when liaising with subcontractors and team members

Comfortable using digital platforms and systems

Proactive, adaptable, and eager to learn

Ability to handle multiple tasks and shifting priorities
