Job Description for Administrative Assistant
Scope :
- Monday to Friday, 9am to 6pm Eastern with an hour unpaid break
- Handle high-level customer service for appointment-based jewelry business
- Manage multiple communication channels : email, phone, chat, and online forms
- Potential for performance-based bonuses
- Long-term commitment expected with opportunity for role expansion
- Direct management by business owner with support from client success manager
Responsibilities :
Manage and respond to business emails, including segregating spam and prioritizing urgent communicationsAnswer incoming phone calls and provide professional customer serviceRespond to online leads and chat inquiries immediately or within minutesSet appointments for prospects and existing customersHandle administrative tasks including government forms and general business supportProvide basic website support and maintenance for Shopify platformCreate and maintain a frequently asked questions database for consistent responsesEnsure coverage during and outside of business hours (10am-5pm EST) to capture all potential leadsRequirements :
Excellent English communication skills, both written and verbalExperience in customer service and administrative supportBasic sales skills and ability to engage with prospects professionallyFamiliarity with CRM systems (Oracle NetSuite preferred)Experience with phone systems (RingCentral preferred)Ability to work independently and manage multiple communication channelsStrong organizational skills and attention to detailComfortable working with jewelry / luxury retail customersIndependent Contractor Perks :
